Who we are
Your Virtual Orthodontist, Inc. ("YVO," "we," "us") provides orthodontic consultation and professional support to dental practices.
This policy explains how we handle information in connection with this public website, including the Get Started enquiry form. It does not cover the authenticated YVO platform, which a practice uses after it becomes a client; that relationship is governed by the agreements that apply to it.
This website is intended for dental practices and dental professionals. It is not a patient-facing service.
Information we collect
When you browse. We do not use analytics, advertising trackers, tracking pixels, session-replay tools, cookies or similar browser storage to collect information about visitors browsing this website.
When you submit a Get Started enquiry. We collect what you enter:
- your practice name, city and state, and your practice website if you give one;
- your name, email address, and telephone number if you give one;
- information about your practice's clear-aligner activity, including approximate case volume, the aligner systems you use, and your intraoral scanner;
- the areas of YVO you are interested in, and anything else you choose to add.
Fields marked optional may be left blank.
Limited technical and security information. When an enquiry is submitted, we may collect limited technical information associated with the submission to help operate, secure, and protect the website from abuse.
Internal review information. When we review an enquiry, we record our own notes about it — for example its status, when we reviewed it, who reviewed it, and whether it led to a practice relationship.
Why we collect it and how we use it
We use this information to:
- review your enquiry and consider whether YVO may be appropriate for your practice;
- contact you about your enquiry;
- understand what your practice is looking for;
- recognise enquiries that may relate to one another, so that we can consider them together;
- protect this website and our services against abuse;
- keep appropriate business and review records; and
- set up the relationship if we accept your practice.
We also use information where reasonably necessary for legal, security, dispute-resolution and recordkeeping purposes.
Whether to accept a practice is a decision made by people at YVO. We do not make that decision automatically.
Please do not send patient information
The Get Started form is for information about your practice. It does not ask for patient information, and you should not submit any.
Please do not include patient names, patient records, clinical information or other patient-identifying information in anything you send through this website.
If your practice becomes a YVO client, there are separate, secure workflows inside the YVO platform for clinical information.
How information may be shared
Enquiry information is available to authorised YVO personnel who review prospective practices.
We use service providers to operate and secure our website and systems. Those providers act on our behalf, for the purposes we specify, and are subject to appropriate contractual and security obligations.
We may disclose information where reasonably necessary to comply with applicable law, respond to a lawful request, enforce our terms, or protect the rights, property or safety of YVO, our clients or others.
The Get Started form does not send your enquiry to an advertising network, an analytics provider or a payment processor, and we do not sell prospective-practice information.
How long we keep it
We retain prospective-practice information for as long as reasonably necessary for business, legal, security and recordkeeping purposes.
Applications that do not result in a YVO client relationship are generally retained for up to two years, although information may be retained longer when reasonably necessary for legal, security, dispute-resolution or other legitimate purposes.
If we accept an enquiry, the information becomes part of the record of the resulting business relationship and is kept in accordance with our applicable business and legal record-retention requirements.
Security
We use administrative and technical measures intended to protect the information we hold, including limiting access to authorised YVO personnel. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
Cookies and tracking
This public website does not currently use analytics, advertising trackers, or similar tracking technologies.
Other websites
This website may refer to companies, products or systems operated by others. We do not control their websites or their privacy practices, and this policy does not apply to them.
Changes to this policy
We may update this policy from time to time. The version posted on this website is the current one, and the effective date above shows when it last changed.
